PRIVACY POLICY

1. Introduction

Zen Cube Wellness Technologies, Inc. (“Zen Cube,” “we,” “our,” or “us”) respects privacy and is committed to protecting information associated with use of the Zen Cube mobile application, the Zen Cube device, and related services (collectively, the “Services”).

Zen Cube is a wellness technology product designed to support mindfulness, relaxation, and everyday emotional well-being through a portable Sanctuary Experience. This Privacy Policy explains how information is collected, used, stored, disclosed, and protected in connection with the Services during the current pilot-testing stage.

Zen Cube is not intended to diagnose, treat, cure, or prevent any disease or mental health condition. The Services are intended for general wellness, mindfulness, relaxation, and emotional well-being support.

2. What Zen Cube Is and How It Functions

Zen Cube is a portable multi-sensory meditation device. The Sanctuary Experience is the core product experience of Zen Cube. It combines soothing audio, ambient lighting, optional aromatherapy, projector-based visuals, and gentle interactive elements to create a peaceful personal sanctuary.

The current pilot version supports structured meditation sessions, including guided breathing, grounding, body scan, and awareness practices. Users may launch a Sanctuary Experience through the Zen Cube mobile application. In family pilot testing, direct device-based voice interaction may also be enabled. In school pilot settings, direct device-based voice interaction will not be enabled.

The mobile application allows users or authorized supervising adults to personalize the experience by selecting preferences such as Adults Mode or Kids Mode, emotional state, calming plan, and sensory settings. These preferences are transmitted to the Cube through encrypted Bluetooth Low Energy (BLE). The Cube then delivers the selected calming plan through its onboard hardware and software systems. Emotional state selections are used only to configure the Zen Cube Sanctuary Experience and are not used as health data or for diagnosing or treating mental health conditions.

3. Pilot Configuration

3.1 School Pilot Settings

For school pilot settings, Zen Cube will be operated through the Zen Cube mobile application and the Zen Cube device. Users or authorized supervising adults may use the mobile application to select the relevant mode, emotional state, calming plan, and sensory experience preferences. These selections are transmitted to the Cube through encrypted Bluetooth Low Energy (BLE), and the Cube then delivers the selected Sanctuary Experience through its onboard hardware and software systems.

Direct device-based voice interaction will not be enabled for school pilot use. In school pilot settings, users will not launch a Sanctuary Experience through voice interaction, and cloud-based voice or Artificial Intelligence (AI) processing through a third-party voice provider will not be used.

3.2 Family Pilot Testing

For family pilot testing, Zen Cube may support direct device-based voice interaction for a more natural, hands-free Sanctuary Experience. When voice interaction is enabled for family testing, voice and Artificial Intelligence (AI) processing may occur directly between the Cube and the selected third-party voice provider through the Cube’s Wi-Fi connection. The mobile application is not involved in the voice or AI processing path.

Zen Cube does not store audio recording input from the user or voice output from the Interactive Voice Response (IVR) system in the current pilot version.

4. Wellness and Safety Notice

Zen Cube is not a crisis support service and is not designed to respond to emergencies, self-harm, suicidal thoughts, harmful behavior, or threats of harm to others. If you or someone else may be in danger, please contact a trusted person, family member, mental health professional, or local emergency services right now.

During the pilot, Zen Cube may use a fixed product safety response when harmful or crisis-related language is detected in pilot contexts where user language input or direct device-based voice interaction is enabled. This response is intended to stop the ordinary Sanctuary Experience flow and direct the user toward real-person or emergency support. Zen Cube does not provide live monitoring, emergency dispatch, human escalation, crisis assessment, therapeutic intervention, or safety planning.

5. Information We Collect

5.1 Information Entered or Selected in the Mobile Application

The Zen Cube mobile application may allow users to enter or select limited information needed to operate the device and deliver the selected Sanctuary Experience. This may include:

  • Emotion selection

  • Adults Mode or Kids Mode

  • Calming plan selection

  • Sensory experience preferences

  • Friendly device name

  • Wi-Fi Service Set Identifier (SSID) and Wi-Fi passphrase during device setup

These inputs are kept on the phone and sent only to the Cube through encrypted Bluetooth Low Energy (BLE). The Wi-Fi passphrase passes through the mobile application to the Cube once during setup and is not retained on the phone afterward.

5.2 Information Stored Locally on the Phone

The mobile application may store limited local information needed for setup, pairing, and basic app functionality, including:

  • An onboarded flag indicating whether setup has been completed

  • The paired Cube’s Bluetooth Low Energy (BLE) identifier, which is an opaque Universally Unique Identifier (UUID) and not a hardware Media Access Control (MAC) address

  • Current mode information

  • Temporary session selections or session configuration information

  • Last-completed timestamp

The paired device identifier is stored in iOS Keychain. Some in-app state, such as current mode and temporary session selections, may live only in memory while the application is in use.

5.3 Device Operational Information

The Zen Cube device may store or generate operational device-state information, logs, and telemetry data needed for product operation and troubleshooting. This may include:

  • Kids Mode or Adults Mode status

  • Whether a request was processed successfully

  • Request failure information

  • Connection or no-connection status

  • Device responding status

  • Firmware version

  • Error codes and system troubleshooting information

  • Other device telemetry needed to maintain product functionality

The device may also store Wi-Fi credentials and pre-recorded calming plans needed for operation.

5.4 Information the Mobile Application Does Not Collect

The mobile application does not collect or store the following information:

  • Names

  • Email addresses

  • User accounts or login credentials

  • Contact lists

  • Precise or background location information

  • Health information

  • Payment information

  • Advertising identifiers

  • Microphone audio, camera images, or photos

  • User-entered free-text journal entries or messages

The mobile application does not request microphone, camera, location, or notification permissions. It requests Bluetooth Always permission because that permission is required for the application to communicate with the Cube.

5.5 No Zen Cube Backend for the Mobile Application

The current mobile application does not have a Zen Cube cloud backend. Nothing is sent from the mobile application to a Sanctuary Computer backend, Zen Cube backend, or Zen Cube cloud server. The phone does not proxy device data to Zen Cube servers.

6. Audio, Voice, and Artificial Intelligence Processing

For school pilot settings, direct device-based voice interaction will not be enabled, and cloud-based voice or Artificial Intelligence (AI) processing through a third-party voice provider will not be used.

For family pilot testing, the Zen Cube device may support direct voice interaction for a more natural, hands-free experience. When voice interaction is enabled for family testing, voice and Artificial Intelligence (AI) processing may occur directly between the Cube and the selected third-party voice provider through the Cube’s Wi-Fi connection.

The mobile application is not involved in the voice or AI processing path. Zen Cube does not store audio recording input from the user. Zen Cube also does not store voice output from the Interactive Voice Response (IVR) system.

To the extent a third-party voice provider is used to process voice interaction during family pilot testing, that provider may process voice input as needed to provide the requested voice functionality. Zen Cube will not use the mobile application as a voice proxy and will not store the resulting voice recordings or IVR voice output as part of the current pilot version. The selected third-party voice provider may retain API inputs and outputs, including voice interaction content, in accordance with its own privacy policy and data retention practices.

7. How We Use Information

Information associated with the Services may be used to:

  • Operate the Zen Cube device

  • Deliver the selected Sanctuary Experience

  • Maintain device and application functionality

  • Pair the mobile application with the Cube

  • Support Wi-Fi setup and device connectivity

  • Improve product reliability during pilot testing

  • Troubleshoot technical issues

  • Provide customer support

  • Protect the security and integrity of the Services

  • Support the fixed product safety response described in this Privacy Policy when applicable

We do not sell personal information.

8. Third-Party Services

The mobile application uses limited third-party services for operational purposes only.

8.1 Sentry

Sentry is used for production error tracking and technical troubleshooting. Sentry may receive crash and exception data such as JavaScript stack trace, operating system version, application build number, and a short action label for triage context.

For device-reported error states, Sentry may receive an error code, the Cube’s factory-assigned opaque device identifier, firmware version, calming-plan category, and session elapsed and total duration in seconds. This is operational troubleshooting data used by engineering to identify recurring device issues.

No user identifiers, names, email addresses, account information, Wi-Fi credentials, Wi-Fi network names, emotion selections, experience selections, or user-entered text are attached to any Sentry event.

8.2 Expo Updates

Expo Updates is used for standard over-the-air JavaScript bundle delivery when the application launches or when a new application version is released. No user data is included in the request.

8.3 Analytics and Advertising Tools

The mobile application does not use analytics Software Development Kits (SDKs) outside of Sentry, such as Mixpanel, Amplitude, or Segment. It does not use advertising identifiers or marketing and attribution Software Development Kits (SDKs).

8.4 Voice Provider

For family pilot testing, when voice interaction is enabled, the Cube may communicate directly with the selected third-party voice provider through the Cube’s Wi-Fi connection for voice and AI processing. The mobile application is not involved in this voice or AI processing path.

For school pilot settings, direct device-based voice interaction is not enabled, and the cloud-based voice or AI processing path through a third-party voice provider is not used.

9. Children’s Privacy

Zen Cube supports both Adults Mode and Kids Mode. Kids Mode uses simpler, child-friendly language and pre-recorded calming plans. Minors may use the product, especially in family or supervised settings.

For school pilot settings, Zen Cube will be operated through the mobile application and device, and direct device-based voice interaction will not be enabled. For family pilot testing, direct device-based voice interaction may be enabled with appropriate adult awareness and supervision.

The current version does not intentionally collect personally identifiable information from children through the mobile application. The mobile application does not collect names, email addresses, user accounts, location information, contact lists, health information, or payment information.

Parents, guardians, schools, or authorized supervising adults who have questions about children’s privacy may contact us using the information provided below. If we learn that personally identifiable information from a child has been collected through the mobile application, we will take appropriate steps to delete it.

10. Information Sharing and Disclosure

Zen Cube does not sell personal information. We may share limited information only as needed to operate, maintain, troubleshoot, or protect the Services. This may include limited operational troubleshooting information shared with service providers such as Sentry for error tracking.

For family pilot testing, when voice interaction is enabled, the Cube may communicate with a selected third-party voice provider for voice processing through the Cube’s Wi-Fi connection. For school pilot settings, this voice or AI processing path is not used.

We may also disclose information if required to comply with applicable law, legal process, or enforceable governmental request, or to protect the rights, safety, and security of Zen Cube, users, or others.

11. User Choices and Controls

Users may control certain device and application functions through device settings and mobile operating system settings. For example, users may disable Bluetooth permissions, although doing so may prevent the application from communicating with the Cube.

Users may uninstall the mobile application at any time. Users may also contact Zen Cube for questions about local device setup, locally stored app information, or pilot participation.

12. Data Security

We use reasonable technical and organizational measures designed to protect information and communications associated with the Services.

Bluetooth communications between the mobile application and the Zen Cube device use Bluetooth Low Energy (BLE) security features. Wi-Fi credentials may be stored on the device as needed for product functionality.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

13. Data Retention

Information is retained only for as long as reasonably necessary to operate the product, maintain functionality, provide support, address technical issues, meet legal obligations, and support the pilot-testing process.

The Wi-Fi passphrase is not retained on the phone after it passes to the Cube during setup. Operational troubleshooting data is retained only as reasonably needed for engineering, reliability, troubleshooting, and support purposes.

Zen Cube does not store audio recording input from the user or voice output from the Interactive Voice Response (IVR) system in the current pilot version. This statement applies only to Zen Cube’s own storage practices and does not govern retention by a third-party voice provider.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any updates will be posted through our website or Services with an updated effective date.
